HomeMy WebLinkAboutCentennial Committee Minutes 10-23-14 MINUTES OF A REGULAR MEETING OF THE SEAL BEACH 2015 CENTENNIAL COMMITTEE WORKGROUP CHAIR COMMITTEE HELD OCTOBER 23, 2014 I. CALL TO ORDER The regular meeting of the Seal Beach 2015 Centennial Committee Workgroup Chair Committee was called to order at 4:00 p.m. by Assistant City Manager Patrick Gallegos in the City Council Chambers, 211 8t" Street, Seal Beach. II. ROLL CALL Present: Marc Loopesko, Celebrations Workgroup Scott Weir, Fundraising Workgroup Nancey Kredell, Merchandise Workgroup Michael Dobkins, History Workgroup Also present: Patrick Gallegos, Assistant City Manager Tina Knapp, Executive Assistant III. PUBLIC COMMENTS Public Comments was opened. Scott Newton and Laura Ellsworth, representing the Seal Beach Lions Club, presented a donation to the Centennial for $5,000, making the Seal Beach Lions Club a Centennial Silver Sponsor. The Committee expressed appreciation and pictures were taken. Scott Newton also reported that the Seal Beach Lions Club is working on a separate project to donate a clock to the City in honor of the Centennial. There being no additional speakers, Public Comments was closed. IV. APPROVAL OF MINUTES OF 9/11/14 Fundraising Workgroup Chair Scott Weir moved, History Workgroup Chair Michael Dobkins seconded, and the motion carried unanimously, that the Committee approve the Meeting Minutes of September 11, 2014. V. ITEMS FOR DISCUSSION A. Group discussion Chair Dobkins reported that he met with the principal of McGaugh Elementary, Jerry Gargus, and Principal Gargus is enthusiastic about partnering with the Centennial Committee on events such as the launch of the "Tale of a 4t" Grade Sea Lion". More details will be forthcoming regarding efforts towards this partnership. Chair Dobkins reported that he has not received response from the CSPAN channels regarding coverage of the Centennial events for the channel's "Local Cities Tour". Chair Dobkins provided the dates for the History Week, September 1 — 7, 2015. Chair Dobkins reported that he continues to work with the Marketing Workgroup regarding press kits. Chair Dobkins also reported that photo workshops (Year in Seal Beach in photos) are being arranged and training in advance of the workshops will be included. Chair Dobkins indicated that if the Founders Day Committee has leftover merchandise from prior Founders Day efforts that these be used for various incentives during the Centennial year. The Committee discussed the Point of Sale system that the City plans to implement and staff will provide more information about what is needed from the Committee as implementation progresses. Fundraising Chair Weir indicated that modifications have been made to the size and type of bricks being offered in the various sponsorship levels. The details of each level will be prescribed in the Sponsorship Opportunities pamphlet, from which should not be deviated as the document defines the fundraising levels. Chair Weir is working with staff to fine-tune the locations of the brick plazas. The Committee discussed the sponsorship level for the Founders Day Committee and it was determined that this level would be sponsorship of $35,000 and would include the Founders Day name/logo on the Seal Beach banner across Main Street in October 2015, one brick in each of brick plazas, Founders Day name/logo on the Centennial commemorative fabric bag, one hole sponsorship for the golf tournament, Founders Day name/logo on the cover of the Centennial event program, and main stage signage during the featured Centennial event. Chair Weir inquired as to what the deadline should be for advertising in the event program. It was originally discussed as January 1St, but this is not feasible for best results. Chair Dobkins offered that the Founders Day blog and Facebook page are modes of advertising while the Centennial website is being developed. Merchandise Workgroup Co-Chair Nancey Kredell reported that fabric bags are being made and will include the Centennial logo on one side and the logos on the large sponsors on the other. Co-Chair Kredell also reported that t-shirts are being ordered and will be white or navy blue and will include the Centennial logo; polo shirts are being produced and will include an embroidered Centennial logo on the front pocket area; hooded sweatshirts are being made and will have the Centennial logo on the front pocket area (small) and large Centennial logo on the back and will be navy blue; and crew sweatshirts will be available with a large Centennial logo on the front. These items were/will be purchased using Founders Day funds, so money from the sale of these items will return to the Founders Day funds. This presents challenges in selling items online. Bea Keubler's shop will be selling Centennial items. Chair Dobkins expressed interest in advertising where the Merchandise Workgroup will be selling items and when on various electronic media (Facebook, email, etc.). Co-Chair Kredell spoke about the Taste of Seal Beach program, which will be a contest amongst local restaurants to offer the best meal deals, with the 20 best deals being offered on the program card. Individuals may purchase the card for an amount to be determined and are able to redeem each of the deals offered on the card. The Merchandise Workgroup determined that it is currently too early to solicit the restaurants for participation, so will start soliciting for this program after January 1, 2015 and plans to have it ready by March 1St. All Seal Beach restaurants will be approached to participate in the contest to offer the best meal deal. It was specified that this is a Merchandise Workgroup effort, not Fundraising or Marketing. Co-Chair Kredell circulated the notecards that were created for the Centennial and depict historical scenes of Seal Beach. The notecards were designed by Elizabeth Kane and will be for sale. Celebrations Workgroup Chair Marc Loopesko reported the Celebrations Workgroup continues to work on events and clarified that the Dinner Dance is October 10, 2015. Chair Loopesko also reported that the movie nights are being moved from Thursday nights to Friday nights. Chair Loopesko will update the events calendar to reflect these changes. Assistant City Manager Gallegos reported on the Marketing efforts, which were provided in writing by Marketing Workgroup Co-Chair Seth Eaker and are as follows: Event Program Book Three bids in process for book— final three bids to be selected week of 10127114 Turnkey solution — Product: Four color event program, Pages: 64, Stock: magazine, glossy, Cover. Heavier cover stock, Staple bound if possible, otherwise sewn,Approximately 50% ad saturation = break-even, Distribution/delivery to: all Seal Beach residences, Quantity. Website Update: Coding has begun for framework, Content already received— calendar, Chairs are submitting content, Namestorm in process for all "Events"to tie into theme. Christmas Parade: In collaboration with Scott Newton for Centennial tie in, Graphic design in process. Action Items/Assignments: Banners - sites identified and confirmed with staff and Celebrations, Graphic design work— supplemental support provided for other elements, Sponsorship liaison — Stephanie, all forms complete, Celebrations committee liaison — Ranee, TM added to logo for use in the future. New Business: Confirming Centennial logo on all elements of merchandising except the one hat, Taste of Seal Beach is not Marketing run, Concern "Founder's Day"money vs. Centennial money. Wasn't the grant for Run Seal Beach for celebrations at the Centennial? The Committee confirmed that, as enacted by prior Committee action, the Merchandise Workgroup may produce and sell one style of hat that does not include the Centennial logo and that the Centennial logo will appear on all Centennial material with the exception of top-wear, soft goods apparel, which may include a second logo in addition to the Centennial logo. Chair Loopesko, also a Director of Run Seal Beach, confirmed that a grant from Run Seal Beach was made to the Founders Day Committee for Centennial activities. The funds were given to the Founders Day Committee, not the Centennial Committee, which has its own bank account. Assistant City Manager Gallegos reported that the City intends to produce other Centennial paraphernalia including business cards, letterhead, vehicle magnets, building banners, and other such materials. The Committee discussed using the same letterhead the City selects for the Centennial Committee. Executive Assistant Tina Knapp reported that checks have been processed for the deposits to Old Ranch Country Club for the Golf Tournament and Dinner Dance and for the deposit to Pyro Spectaculars, Inc. for pyrotechnic services for the Centennial carnival celebration. Executive Assistant Knapp also indicated that payment to Kreative Fingers for website development is being processed. The Committee discussed that events and activities that require permits, which require payment of related fees, will not be subject to the fees. All proper paperwork should be completed, but fees would not be required. B. Determine next meeting date & time The Committee scheduled the next meeting for Thursday, December 11, 2014 at 4:00 p.m. in the City Council Chambers. VI. ADJOURNMENT The meeting was adjourned at 5:00 p.m.
