HomeMy WebLinkAboutCentennial Committee Minutes 06-05-14 MINUTES OF A REGULAR MEETING OF THE SEAL BEACH 2015 CENTENNIAL COMMITTEE WORKGROUP CHAIR COMMITTEE HELD JUNE 5, 2014 I. CALL TO ORDER The regular meeting of the Seal Beach 2015 Centennial Committee Workgroup Chair Committee was called to order at 5:00 p.m. by Assistant City Manager Patrick Gallegos in the City Council Chambers, 211 8t" Street, Seal Beach. II. ROLL CALL Present: Marc Loopesko, Celebrations Workgroup Scott Weir, Fundraising Workgroup Nancey Kredell, Merchandise Workgroup Deb Machen, Marketing Workgroup Michael Dobkins, History Workgroup Also present: Patrick Gallegos, Assistant City Manager Tina Knapp, Executive Assistant III. ORAL COMMUNICATIONS Seal Beach resident, Carla Watson, requested written confirmation that Workgroup Chair Committee meetings are subject to the requirements contained in the Brown Act. IV. ITEMS FOR DISCUSSION A. Centennial process Assistant City Manager Gallegos reviewed the Centennial process: • Five workgroups: Celebrations, Fundraising, Merchandise, Marketing, and History. • Each workgroup has selected a Chair or Co-Chairs; the Chairs of each workgroup comprise the Chair Committee. • Activities/events are developed in the workgroups & presented by the Chair to the Chair Committee. • Chair Committee determines which activities/events to present to the Executive Committee. • Executive Committee reviews & approves activities/events based on criteria such as budget. • Trickle up workflow. Assistant City Manager Gallegos informed the Committee that since this Committee and the Executive Committee were created by the City Council both are subject to the regulations of the Brown Act. B. Budget Assistant City Manager Gallegos relayed to the group that in the City Council's recent Budget Workshops $100,000 was allocated to Centennial planning and events. With the $35,431.47 donated by the 90th Founders Day Committee, the total existing funds allocated to Centennial planning and events is $135,431.47. Mr. Gallegos also informed the Committee that the City Attorney was completing his determination regarding the non-profit status of the City as it pertains to accepting donations. A final determination will be forthcoming. C. Selection of events & projects Celebrations Workgroup Chair Marc Loopesko indicated that his Workgroup had identified 20 possible events and that voting was done to rank the events. The outcome identified approximately 10 events as possible Centennial activities/events. Each of the ten proposed events will be evaluated and criteria such as proposed dates and costs will be provided. The proposed events include activities such as a carnival, pool party, and golf & tennis tournaments, among others. Please see the attached Celebrations Workgroup Events Voting document for further details on events considered. Merchandise Workgroup Chair Nancey Kredell indicated that the Merchandise Workgroup met and identified merchandise such as tshirts, reusable bags, sweatshirts, beach towels, and decorative flags as possible Centennial items to be sold. Chair Kredell also spoke about the Taste of Seal Beach that was done as part of a prior Founders Day celebration. The Taste of Seal Beach allowed individuals to purchase a card for specials and deals that were available for 30 days at local restaurants. Marketing Workgroup Chair Deb Machen reported the key items of focus for the Marketing Workgroup are brand development; mission, vision, and values; and strategic objectives including awareness, participation, education, and lasting legacy. Chair Machen reported that the Centennial logo contest is being advertised and entries are being received. The contest is open to all and the deadline for submissions is June 30th. Attached is the Marketing Workgroup Report, which provides additional details on the items referenced above. History Workgroup Chair Michael Dobkins presented the Seal Beach Centennial Historical Projects Master Plan Proposal (attached). Additionally, Chair Dobkins reported that he has reserved several website domains should the Centennial wish to utilize them. Fundraising Workgroup Chair Weir presented the Draft Seal Beach Centennial Committee Fundraising Projects (attached). Chair Weir also mentioned the possibility of identifying the "Top 100 Athletes of Seal Beach" or "Top 100 Notables of Seal Beach" and incorporating this information in some manner. The Committee also discussed the idea of running a Red Car that would travel on wheels on the original Red Car path and incorporating other songs about Seal Beach into events and activities. D. Draft calendar of events The next steps for the Committee are to identify potential dates and costs for the suggested activities and events, which will be incorporated into the next meeting. Once the possible dates are identified a draft calendar of events will be prepared. E. Determine next meeting date & time The Committee scheduled the next meeting for Thursday, June 26, 2014 at 3:00 p.m. in the City Council Chambers. V. CHAIR COMMENTS The Committee indicated that it would like to incorporate online sales of Centennial items at some point in the future. VI. Develop, support and implement a plan to commemorate Seal Beach's Centennial celebration throughout 2015. b. Vision i. The Seal Beach Centennial will inspire all to appreciate our city's rich past, celebrate the present and, together, create a vibrant and sustainable future. c. Values i. Inclusiveness —The centennial will embrace all contributions made to our city over the last 100 years. ii. Empowerment—The centennial will motivate Seal Beach to remember the past, celebrate the present and imagine the future in ways that are unique and meaningful to our community. iii. Sense of Pride —The centennial will encourage collaborations and partnerships among the public, non-profit and private sectors to create meaningful celebrations throughout the year. iv. Sense of Place —The centennial will invite all to experience the rich and diverse tapestry of Seal Beach's natural, cultural artistic and social history that will guide us into a promising future. v. Legacy— The centennial will create meaningful memories, like a snap-shot in time, of life in Seal Beach as it was in 2015. III. Strategic Objectives a. Awareness i. A marketing and media plan will develop a brand as well as major tactical strategies to support the entire centennial effort. b. Participation i. An outreach strategy will enlist various public, non profit and private partners in the Centennial. c. Education i. This strategy focuses on education for all ages related to the history and heritage of Seal Beach. d. Lasting Legacy i. The main objective will be to encourage Centennial participants to answer the questions of"why" and "how" the impact of the centennial will be long lasting, and will help define and sustain the future of Seal Beach. IV. Budget Requirements a. The print ad placement budget alone, to support and promote all fundraising efforts, centennial events, sale of merchandise, posters, collateral, support documentation, website design and development and graphic development will be between $50k - $60, conservatively. b. Public relations and press releases, email, social media and other Internet outreach programs will require additional funding of between $20k or more. Seal Beach Centennial Historical Projects Master Plan Proposal Our goals are to present Seal Beach with a full range of historical projects and events that covers the full range of the city's rich past and to also document our centennial year for future Seal Beach residents and historians. 1. Seal Beach Historical Photo Drive a. Monthly 4-5 hour events hosted in various venues rotating through all Seal Beach districts b. Scanners and computers set up to scan photos and documents brought in by residents and visitors c. Portable multi-media exhibit highlighting Seal Beach history d. Sign-ups and displays for A Year in Seal Beach 2. A Year In Seal Beach a. A year round community project in which residents, visitors, business owners, students, and anyone interested documents everyday Seal Beach life in 2015 using digital cameras, camera-phones, and video-cams. b. Most of the images will be put on display on the web, but perhaps the best photos can be published as a book after the centennial. 3. History Programming— 10 monthly events from January to October. Panels and presentations could include: a. Local Native Americans b. Spanish Land Grants and 19th Century History before Anaheim Landing c. Anaheim Landing Days (with Anaheim& Westminster Historical Societies?) d. Leisure World, College Parks Easts & West, Surfside e. Apollo & Aerospace f. Naval Weapons Station g. Historical Slideshow h. Pacific Electric Railway History i. The 1915 San Francisco Panama Pacific Exposition& its influence on the Joy Zone j. Local historian panels (Stan Poe, Chris Epting, Larry Strawther, Claudine Burnett, etc.) 1 Seal Beach Centennial Historical Projects Master Plan Proposal 4. Seal Beach Film Festival with the Bay Theater as a possible location 5. Historical Walking Tours a. Live Tours with docents (possibly in historical costume) and historical pictures displayed at stops. b. Self-guided tours, either with brochure or recording 6. Local composer Alex Kaloian has composed a Centennial March for 2 Pianos and other Seal Beach pieces and would like to give a performance. 16. The Red Cars return to Electric Avenue - Set up a temporary model railroad track along the old Red Car route on Electric Avenue and run Pacific Electric Red Car replicas. 17. Musical Flashmob musical video shot on pier and Ocean Avenue (Possible Songs: Under The Boardwalk, Birthday from The Beatles White Album) 18.
