HomeMy WebLinkAboutCentennial Committee Minutes 12-11-14 MINUTES OF A REGULAR MEETING OF THE SEAL BEACH 2015 CENTENNIAL COMMITTEE WORKGROUP CHAIR COMMITTEE HELD DECEMBER 11, 2014 I. CALL TO ORDER The regular meeting of the Seal Beach 2015 Centennial Committee Workgroup Chair Committee was called to order at 4:00 p.m. by Assistant City Manager Patrick Gallegos in the City Council Chambers, 211 8t" Street, Seal Beach. II. ROLL CALL Present: Marc Loopesko, Celebrations Workgroup Scott Weir, Fundraising Workgroup Nancey Kredell, Merchandise Workgroup Carla Watson, Merchandise Workgroup Michael Dobkins, History Workgroup (arrived at 4:10 p.m.) Deb Machen, Marketing Workgroup Seth Eaker, Marketing Workgroup Also present: Patrick Gallegos, Assistant City Manager Tina Knapp, Acting City Clerk III. PUBLIC COMMENTS Public Comments was opened. There being none, Public Comments was closed. IV. APPROVAL OF MINUTES OF 10/23/14 Merchandise Workgroup Co-Chair Carla Watson moved, Fundraising Workgroup Chair Scott Weir seconded, and the motion carried unanimously (with the absence of the History Workgroup Chair), that the Committee approve the Meeting Minutes of October 23, 2014. V. ITEMS FOR DISCUSSION A. Events program book Marketing Workgroup Co-Chair Seth Eaker reported that the events program book is currently out to bid. Co-Chair Eaker also indicated that if advertising is lacking that the deadline or size of the book should be changed. The Committee determined that artwork for the book should be submitted to the Marketing Workgroup and that advertising is due on/before March 1, 2015. Allowing for 60 days production time, the book will be published at the beginning of May 2015. Co-Chair Eaker also requested that content (besides advertising, like pictures and historical material) be submitted as soon as possible. Content can be submitted to sealbeachcentennialmarketing @gmail.com. The Marketing Workgroup will edit content. The Committee discussed the Centennial sponsors to-date- Founders Day Committee — level of sponsorship unnamed Lions Club of Seal Beach — Silver Sponsor 1St United Methodist Church of Seal Beach — Silver Sponsor The fundraising packet is being corrected and it has been identified that a mechanism is needed for ordering bricks, such as a form. The Committee determined that all Centennial sponsorship leads are to be directed to Assistant City Manager Patrick Gallegos and that the events program book will be 64 pages. Co-Chair Eaker reported that the events program book is a cost neutral effort and inquired as to distribution since it can no longer be incorporated with the City's Shoreline publication as that is no longer delivered to every household. The Committee discussed marketing efforts being made during the Centennial year about three or four times during the year. The City's water bills were identified as a possible mechanism for marketing efforts. To request pictures from the Historical Society it was determined that the City should be the requester. Chair Michael Dobkins indicated that if any Chair/Workgroup would like a sbfoundersday/sealbeach100 email address that he would be happy to provide one. B. Use of Centennial logo Assistant City Manager Gallegos raised the question of who the Committee wanted to approve the use of the Centennial logo. It was determined that a formal protocol and criteria should be established and the City would approve use of the logo. C. Group discussion Assistant City Manager Gallegos showed the group a picture of the badges the Police Department will be wearing in honor of the Centennial year beginning January 1, 2015. Co-Chair Eaker reported that a press release timeline will be developed for all events and that vertical banners would be purchased through Dekralit for advertising the Centennial year (money allocated in the budget). Staff will look into the vertical banner schedule/calendar. Co-Chair Eaker also reported that the Centennial website is in development. The Committee discussed the possibility of selling old banners from prior Founders' Days. The Merchandise Workgroup reported that a static cling of the Centennial logo is now available for purchase. The Workgroup also reported that there was a glitch with the tshirts purchased, but the Committee responded with positive comments about the current look in spite of the glitch. Chair Dobkins asked Merchandise Co-Chair Watson if she could provide him with pictures from previous Founders' Day events. Assistant City Manager Gallegos indicated that media contact will be forwarded to the responsible Chair and any uncategorized requests to the Marketing Workgroup. Mr. Gallegos asked that he be notified when contact is made. Mr. Gallegos reported that the Point of Sale module is being implemented by the City; however, the Centennial Committee has not purchased merchandise items, so there is nothing currently for sale. Mr. Gallegos reported that he is working on buy-in from the Councilmembers for brick locations and that logistics, such as who will do the construction, will need to be worked out. Assistant City Manager Gallegos responded to a question regarding whether or not the proceeds from the Centennial Golf Tournament can be donated to the Bay Theater indicating that he will research the issue. Chair Loopesko indicated that this will cut into the Celebrations Workgroup budget as the Golf Tournament is slated to earn money that will fund future Centennial events. D. Determine next meeting date & time The Committee scheduled the next meeting for Thursday, January 22, 2015 at 4:00 p.m. in the City Council Chambers. VI. ADJOURNMENT The meeting was adjourned at 5:20 p.m.
