SUBJECT: Destruction of Certain Financial Records
SUMMARY OF REOUEST:
Approve destruction of financial records per the time constraints of Government Code Section
34090 and City Resolution Number 3726.
DISCUSSION:
Government Code section 34090 and Resolution Number 3726 set guidelines for destruction of
financial records. The City Attorney has approved the following records for destruction:
All prior to June 30, 1978:
General Ledger Accounts
AU prior to June 30, 1992:
Employee Time sheets
Purchase Orders
Paid Invoices
Paid Checks
Monthly Revenue Reports
Daily Cash Summaries
Monthly Expenditure Reports
Water Receipts
Meter Read Books
Water patron Ledgers
Business License Applications(after termination or expiration of license)
All payroll records are being retained as a permanent record until microfilming of payroll records
has been completed.

FISCAL IMPACT:
The proposed Resolution has no fiscal impact.
RECONEMENDATION:
A MOTION TO APPROVE THE PROPOSED RESOLUTION AUTHORIZING THE
DESTRUCTION OF CERTAIN FINANCLAL RECORDS.
