What are the goals for this and when will the results be available to review? Staff anticipates presenting the results at the November 9th Council meeting. The purpose of the survey is to verify speed and traffic patterns to confirm or modify speed limits, as permissible by the California Vehicle Code. Due to time constraints for purposes of this response, the July 2020 legal services include the monthly retainer and legal services rendered to particular departments. The challenge is limited description area on the warrant listing; however, Finance is aware of the request to include as much of an itemized description on these invoices as possible each month. Is this for the phones? If so, are we still on track to replace the phone system by the end of the year as was mentioned in the Summer? Staff still intends to replace the current phone system. Like with most of our projects, the pandemic greatly impacted our progress. Currently, the City has restarted discussions with a vendor who was working with us in March on a proposal to provide an operational assessment, development of a formal RFP, and a competitive selection for a new system. Some of the tasks that we talked about initially might have to take place remotely, so we will be discussing how this might work in our new environment while still being effective. More information will be provided as we have a more firm timeline. When is the Office 365 deployment date? I see a few instances charged on the warrants. Syntopek has made a lot of headway on implementation, testing of O365, and resolving related system issues. We are in the process of migration and we anticipate completion for migration in early November. Item D: Is there some method to make sure we get all relevant contracts included for this report? Yes we have an internal contract tracking system in place. Can staff respond to the 4 vendors missing in other comments? To staff’s knowledge there aren’t any vendors missing from the staff report as alleged. If staff finds there is a relevant contract that is applicable to this quarterly staff report that wasn’t included, we will include it in the next quarterly report. Item G: Are there specific grants that we intend to go after over the next year? Could staff provide a few examples? We anticipate discussing all potential grant opportunities with the consultant; however, please note that this list only represents examples and is not an all-inclusive list of grant opportunities at this point.  Upcoming Prop 68 Per Capita Program - park and recreation services grant  Upcoming water infrastructure rehabilitation grant program for well projects  Upcoming Caltrans Active Transportation Program Grants  Various OCTA grant programs including storm water quality focused grants  Rivers and Mountains Conservancy Grant programs Item K: Is there anything the council can look at prior to the meeting to be ready with some questions? Staff is in the process of finalizing a very preliminary quarterly budget update for tonight so there isn’t anything to share with the Council prior to the meeting. It’s intended to be a high level presentation/discussion, and as always the Council can ask questions following the presentation.
