HomeMy WebLinkAboutCC AG PKT 2010-09-13 #AAGENDA STAFF REPORT DATE: September 13, 2010 TO: Honorable Mayor and City Council THRU: David Carmany, City Manager FROM: Linda Devine, City Clerk SUBJECT: REVIEW RETENTION OF AUDIO RECORDINGS FOR STUDY SESSIONS/WORKSHOPS (Miller) SUMMARY OF REQUEST: On August 9, 2010, Councilman Miller requested an agenda item regarding the retention of audio recordings of study sessions /workshops. BACKGROUND: On July 25, 2005 the City Council adopted Resolution No. 5367 adopting a Records Retention Schedule and authorizing destruction of certain City records. Attached is a copy of the resolution and the page from the retention schedule dealing with audio recordings of meeting. As shown in the Records Retention Schedule, state law requires that audio recordings of meetings be retained for 30 days. Pursuant to the Council's adopted policy, the City retains such recordings for 30 days or after approval of Minutes, whichever is longer. The audio recordings are for transcription purposes only. Council workshops /study sessions are considered "brain storming" or provide general information. From the workshops /study sessions the Council may direct the City Manager to agendize any item /issue for action at one of the regular or special Council meetings. At the July 12, 2010 City Council meeting the Council voted to retain the video recordings of meetings for 10 years and at the end of the 10 year retention period donate the recordings to the Seal Beach Historical Society.
